Generally speaking, we turn around all STAT reports in less than 4 hours. All other reports are turned within 24 hours, with 65% being within 12 hours.

What if my customer dictates over the weekend?

The same turnaround times apply. We operate on three shifts 365 days/year.

What are the payment methods and how often does JLS Transcription Solutions invoice?

Invoices are usually sent every two weeks for work processed in that time. However, we are willing to accommodate and customize our billing practices to suit your needs. The invoice provides the details of lines per job. Payment can be by check, bank draft, or wire transfer.

How is the dictation processed?

Your customer's work will be assigned through a secured ftp site to a dedicated team of medical transcriptionist(s), editor(s), and proofreader(s) based on your specialty and estimated dictation load. The transcribed work will be returned to your customer through the secured ftp site. We can also send the work via email if your customer prefers.

How is security ensured during transmission?

Secure socket layer encryption (SSL) endures all communication between your server and our server is protected by 128-bit encryption prior to transfer. Thus, electronic medical records are accessible only by those with security clearance

How does JLS Transcription Solutions maintain security and privacy of patient information? Are you HIPPA compliant?

We maintain administrative controls such as systems certifications, chain of trust partner agreements, contingency plans, formal record processing mechanisms, internal audits, information access controls, personnel security, security incident procedures, security management processes, termination procedures, and awareness training programs.

All transcriptionists and supporting staff sign non-disclosure and confidentiality agreements before employment; the agreements are in effect for two years following departure.

Data confidentiality and integrity are ensured by access control, audit control, authorization control, data authentication, and entity authentication.

We maintain compliance with current HIPPA regulations.

We ask that you or your customer provides the standard format they wish us to use.

How long does JLS Transcription Solutions archive transcriptions? What charges are involved?

We keep all transcriptions attached with the respective voice files for at least 12 months. Longer retention is available on request. There is no charge associated with archives.

We use Microsoft Word to transcribe the dictations. However, we are open to delivering transcripts that are compatible with your software.

Our servers are built with fault tolerance mirrored drives. A redundant system is ready in case of failure. A backup system is also ready off site in case the primary system fails.
